What your assistant does for each use case, and how it is born with your website

· 7 min read
Hola Tienda

Your assistant can be born in two ways: from the setup guide (you pick one of 4 use cases) or together with your website (it is created on its own when the AI builds your site). Here is the exact scope of each one, so you can choose the one that fits your business best.

What services, products and potential customers share

The first three cases of the guide serve people and build a request with a pre-quote. It works the same in all of them:

  1. It builds the request. It confirms with the person what they want (product or service, quantity and variant, such as size or color) and repeats the ordered list every time it changes.
  2. It asks for their data. It needs a name and an email or a phone, one per message and only the missing ones. If it already has them, it does not ask again: it shows them and asks whether they are still correct or the person wants to change them.
  3. It confirms before closing. It summarizes the request and the data in one ordered message and waits for the person's approval.
  4. It tells you. Once confirmed, you get an email with the direct link to that conversation in Opportunities and Sales (it goes to your site's billing email or, if there is none, to your account's). No order is created.
  5. It leaves the way ready for the customer. If your assistant has an advisor with WhatsApp, below the answer shows the Send my pre-quote on WhatsApp link, with the request and the customer's data already written, ordered and in a list, so they only have to send it.
  6. Every request is independent. If after confirming one the person asks for more units or other products, the assistant builds a new request from zero (2 already asked plus 2 now is a request of 2, not 4) and tells you again.

What it does not do: it does not charge, does not confirm stock, delivery dates or shipping, and does not invent prices or promises. Your advisor takes care of that.

The 4 use cases of the guide

1. Present your services (free)

  • For whom: businesses that offer services or a brand: consulting, beauty, health, classes, events.
  • What it does: presents your brand, your services, your contact details and your frequently asked questions, and guides the person until they find what they need. If they want to book or hire, it builds the request and follows the process above. When needed it asks for a tentative date, the place or the modality.
  • Where the information comes from: what you write in the guide (name, description and optional price of each service) and the complementary information about your brand (who you are, hours, website, social networks).
  • Scope: informs and pre-quotes. It does not keep a list of customers or take orders.

2. Present your products (free)

  • For whom: businesses with products that close the sale with an advisor.
  • What it does: presents only the products in its knowledge base (description, price with its unit, variants), helps choose and builds the purchase request with quantities.
  • Where the information comes from: the products you write in the guide (name, description, price) or, if you already have a linked website with products, the assistant takes those from your site and you do not have to add them again.
  • Scope: informs and pre-quotes. It does not process payments or take orders.

3. Capture potential customers (Opportunities extension, paid)

  • For whom: whoever wants a list of interested customers to follow up with.
  • What it does: everything in the products case, and also captures naturally and one at a time the key data of each person (name, last name, email, phone, address and document) and saves it in your opportunities list. If they ask about products, it records which ones interest them and how many.
  • Scope: informs, pre-quotes and saves customers. It does not charge or take orders either.

4. Sell and receive payments (Smart Sales extension, paid)

  • For whom: whoever wants the assistant to sell from start to finish.
  • What it does: informs prices and inventory, builds the order (first the products, then the name and delivery address), shows your account's QR code to pay, receives and checks the receipt, and tells you so you can ship.
  • Where the information comes from: the products are saved in your catalog (the price is required). For payment you only show the QR (no account number or holder is needed) and payments from any bank or wallet are accepted. Shipping is a single value for the whole country (or free, or none) and you can add zones later.
  • Scope: sells and charges with its own order flow, so the contact request notice of the previous cases does not apply here.

Cases 3 and 4 are paid extensions: the guide shows you the price before you pick them.

The assistant born with your website

When the AI creates your site, it also creates your assistant, without going through the guide. This is what it brings and how far it goes:

  • Identity. The AI proposes a name of 3 to 15 characters related to your site, a matching gender and one of the 11 predefined pictures.
  • Use case. If your site has products, it is born as the products case. If it has none, as the services case. It never turns on Opportunities or Smart Sales on its own: if you want them, you add them later.
  • It knows your business. Its context is the name and description of your site, and it is linked to its catalog, with or without products.
  • Greeting. It introduces itself with its name and your business and ends with a call to action for its case: for example, "Hi! I'm Elena, virtual advisor at SaborArtesano. Want to see our products?"
  • Same advisory and pre-quote. It brings the whole process of cases 1 and 2: independent requests, confirmed data instead of asking again, an email to you and a WhatsApp link with the request in order.
  • Your WhatsApp as advisor. The verified WhatsApp of your account is also set as the assistant's advisor, as on your site.
  • No guide. It does not make you go through the setup guide; you can fine tune it whenever you want from its editor.

Where you see it and how you edit it

  • In the editor a short hint appears under the Preview button (it goes away after 5 seconds and comes back if you reload) inviting you to see your assistant at work.
  • In the preview and on your public page the assistant shows closed, at the bottom right, with its greeting, so it does not cover the screen on a phone.
  • The robot button of the side bar opens its editor in a new tab, and on its public page you have a pencil to go there if you are the owner or an editor.
  • If you ask Boty where your assistant is, it tells you that you see it in the preview, and if you ask, it opens it.
  • If your site is not registered to your name yet, the assistant still answers, with a limit of 15 replies; when you sign up it becomes yours together with the site.
  • If your site is inactive, the assistant stays available and knows it: it can keep advising.
  • If you unlink it from the site, the WhatsApp button of your site comes back in its place.
