Smart Assistant

The Smart Assistant is your own AI chatbot. It chats with your customers for you — by text or by voice — using your business's real information to answer them. You no longer need a website to have one: you can create a standalone assistant in seconds, or activate it inside a website you already have.

Create it without needing a website

From the home screen, the "Create Assistant" button opens a quick modal (name, avatar, business description) and takes you straight to your own admin panel — no website builder involved. You can try it right away: the first 3 messages are free, and from the 4th on you're asked to register to keep configuring it and save your changes.

Your assistant lives at its own link (holatienda.com/ia/your-slug), ready to share on social media, WhatsApp, or anywhere else — no page needs to exist behind it.

Activate it on an existing website

If you'd rather use it inside a website, go to Settings ⚙️ → Smart Assistant in the editor: there you pick which of your assistants to connect to that page (or create a new one). Once connected, it replaces the floating WhatsApp button on your public site.

Configure it

Identity, advisor WhatsApp and the knowledge base are managed from a single "Configure Assistant" modal, organized into tabs:

  • Identity: name, greeting, avatar (generated or your own), biography, profile, conditional links, and one of 6 voices for spoken replies (or turn it off). Also the visual theme: the default style, one inspired by WhatsApp, or "Boty".
  • Advisor WhatsApp: the human advisor's WhatsApp number, used for notifications and to step into conversations.
  • Knowledge base: extra business info, beyond what the assistant already knows from your pages/catalog. The Business Context field is the single most important piece of information for it to answer well — write it yourself, upload a PDF, or use "Generate with AI"/"Improve with AI" to have Boty help you write it, along with your links and quick messages: buttons your visitors can tap instead of typing, great for your most common questions (hours, shipping, payment methods, etc.) — they cut down on AI mistakes and save visitors time.

Assistant Teams

If your business has several areas or specialties, you can create a Team instead of a single assistant, from the same button where you create a new assistant. A team doesn't answer from its own knowledge base: it brings together several of your existing assistants and, on every message, decides which one should take over the conversation based on what the visitor writes.

From the Team tab of its configuration, you choose which assistants are part of it (only the active ones) and describe, for each one, when it should respond — for example "pricing and plan questions" or "technical support". The visitor just sees one continuous conversation, even though it switches between assistants behind the scenes depending on the topic.

Extensions

Like a website, an assistant can have paid extensions active — the Extensions 🧩 button in its admin bar. See pricing details in Extensions.

With the Opportunities extension active, a dedicated settings button appears where you define what data to ask each interested visitor for (document types, statuses, tags and custom fields), and you can invite an advisor to manage them from the Customers tab.

With the Smart Sales extension active (it includes Opportunities), a dedicated button appears right after the Opportunities settings, with a counter of the orders to handle. Its window has two tabs: Products (your catalog, which used to live in Knowledge base) and AI Store (how the order, payment and shipping work). Your assistant takes orders and reads payment receipts, and you follow them in the Orders tab of Opportunities and Sales. All the detail is in Orders and sales and Assistant products.

With the Decision Tree extension active, you can design a guided flow with multiple-choice questions, capturing specific data (with its own validation, e.g. email), automatically changing an opportunity's status or tags, redirecting to a URL or your WhatsApp, or even handing the conversation off to another one of your assistants — all built visually from its own canvas in the admin bar, no code required. While the tree is running the generative AI doesn't step in; once it finishes, the conversation continues normally with your assistant. Includes the Opportunities extension. If your assistant is connected to your own WhatsApp Business, the decision tree runs there too: multiple-choice questions show up as native WhatsApp buttons or lists, not plain text.

You can also add a Prompt (AI) node: give it a short instruction (for example, "classify whether the visitor is buying for personal use or for their business"), and the AI resolves it using the data the opportunity already has. You can save the result directly into an opportunity field (name, status, tags, or a custom field) or show it to the visitor as a reply. You can have it run right away, or wait for the visitor's reply first so the AI has more to work with. If you set a default value, it's used automatically whenever the AI can't determine a valid one, so the field never ends up with an incorrect answer.

Sibling nodes (the different branches coming out of the same point in the tree) can also have conditions: the tree automatically follows whichever branch's condition matches the opportunity's already-saved data (for example, "if the budget is above a certain amount, go this way; otherwise, go that way"), without the visitor having to choose anything.

Connect your assistant to WhatsApp

Your assistant can also reply on WhatsApp, with the same information and the same voice it uses on your page. There are two ways:

  • 24-hour trial, from the panel. Go to Configure Assistant → WhatsApp, enter the number you want to use, confirm the code that arrives by SMS, and you are done. For 24 hours your assistant replies on WhatsApp. To run the trial you need available premium tokens.
  • Permanent connection. So that your WhatsApp Business stays in your name and does not expire, we help you set it up in your own Meta business portfolio. Request it from the same panel, in the same tab.

The number must be a line that does not have an active WhatsApp account, and that can receive SMS or calls. When the trial ends, the assistant stops replying on WhatsApp until the connection is permanent.

What can it answer?

Your assistant knows your business's real information: its name and description, your knowledge base, your product catalog, and (if connected to a page) that page's sections, testimonials, FAQs, and blog articles. Without the Smart Sales extension, an assistant connected to your page still explains your products and their prices, but in a consultative way: it does not build orders or offer to add them. If a visitor asks to speak with a person, or asks something your assistant genuinely doesn't know, it offers to contact you directly by WhatsApp or email.

Token usage

Sales through the assistant (orders and receipt reading) do not require premium tokens: they also work with free tokens, although every reply uses tokens like any message.

Unlike Boty's advisory chat (which never consumes tokens), your Smart Assistant's replies to your visitors do consume tokens from your balance — see AI Tokens for the full detail.

Share your assistant with your team

From the Share 👥 button in its admin bar you can invite other people to collaborate on your assistant, choosing each one's role:

  • Editor: edits the identity, knowledge base, opportunities and decision tree, shares the assistant with more people, and also does everything an advisor can. They can't buy extensions, buy tokens, or delete the assistant — that stays yours alone as the owner.
  • Advisor: sees and replies to this assistant's conversations and opportunities, without being able to change its configuration. You need the Opportunities extension active to invite advisors.

You can't share the assistant with its own owner's email. The invite shows up under Shared With Me on the invited account once accepted.

Transfer your assistant's ownership

Unlike sharing to collaborate, transferring hands the assistant over completely to another account — you stop being the owner and lose all access.

  • From the same Share button, in the Transfer tab (only visible to you, as owner), enter the email of the account you want to transfer it to. That person must already have a registered Hola Tienda account.
  • While the transfer is pending (up to 7 days, or until you cancel it), you remain the owner — you can cancel it anytime from that same tab.
  • The other person gets an email with a link to accept or decline the transfer — they must accept it while logged in with that same email. If they decline, or let the 7 days pass without responding, nothing happens and you remain the owner.
  • Once accepted, the transfer is immediate and can't be undone: the other person becomes the owner, with full access, and you lose yours. If an editor or advisor already had access, they keep it under the new owner.

Conversations with your visitors

You can watch your visitors' conversations with your assistant live, and step in to write to them yourself at any time by joining the conversation — from My Account → Customer Chats, or from the assistant's own panel if you manage it independently. While you're joined, the assistant stops replying automatically; you can leave the conversation whenever you want so it starts replying again. If you go inactive, a small countdown shows how long until the assistant takes the conversation back over on its own — it turns red in the last minute, and resets as soon as you move the mouse, click, type, or send a message.

Boty in the editor

In your assistant's editor, Boty takes you to the exact place of each setting and leaves the cursor on the field. See Boty in the assistant editor.

Your assistants

From My Account → My Assistants you'll find every assistant you've created, whether through a website or not, to manage them or create a new one.

Export your customers

In Opportunities and Sales → Customers, the Export button downloads an Excel with all your customers' data and one column per custom field. It honors the filters you have applied (search, assistant, status, document type and tag) and covers every page. It is only available to the owner and the editors of the assistant, not to advisors.
