Assistant products
Your assistant has its own catalog of products and services. It uses it to recommend, give prices and, with the Smart Sales extension, take orders. If your assistant is connected to a web page, it also knows that page's products, without repeating them.
Where they are managed
With the Smart Sales extension active, products are in the Products tab of the Smart Sales window in the assistant's admin bar. If the assistant has a web page, the page's products also appear there and you can manage them from that place or from the page itself.
Rows are always sorted by creation date, newest first. A new product you add appears on top. The tab has its own Save button.
Data of each product
| Field | Rule |
|---|---|
| Name | Required, up to 80 characters. It cannot be repeated. |
| Description | Required, up to 160 characters. Include the presentation and anything you want the assistant to know. |
| Price | Optional, a number without symbols (up to 2 decimals on screen; in Excel, a plain number without dots or commas). A product without a price can be mentioned and recommended, but it cannot be added to an order (the assistant says it is checked with an advisor). |
| Discounted price | Optional. It can only be set if there is a price, and it must be lower than the price. The assistant shows the original price struck through and the discounted one, and calculates with the discounted one. |
| Unit of measure | Optional, chosen from a list (the presentation it is sold in): Unidad, Par, Docena, Paquete, Caja, Bolsa, Bulto, Botella, Frasco, Lata, Rollo, Sobre, Tarro, Kit, Combo, Pieza, Porción, Plato, mg, g, kg, lb, Arroba, Tonelada, ml, L, Galón, mm, cm, m, km, m², m³, Hora, Día, Semana, Mes, Sesión and Servicio. |
| Link | Optional. When the customer asks for more information about the product, the assistant answers with the description and gives them the link. |
| Stock | Available or sold out. A sold out product cannot be sold or added to an order: the assistant tells the customer it sold out and suggests 2 or 3 similar products. You can mark several products as sold out or available at once. |
How many products the assistant knows
To reduce made up answers (hallucinations), at most 300 products reach the assistant. If you have more, it only knows the first 300 and the tab warns you. You can check Remove the products limit, but it asks you to confirm first, because with very large catalogs the assistant may start getting things wrong.
With large catalogs the assistant does not load all the detail in every message: it knows the compact list (name, unit, price and availability) and, when a product is being discussed, it receives its description and link.
Import and export with Excel
To load many products at once use Import:
- Prepare an .xlsx or .xls file (up to 1 MB and 1000 products) with the columns Name, Description, Price, Discount Price, Unit, Link and Has Inventory (YES or NO). The column order does not matter.
- If a name already exists, the product is updated; if not, it is created.
- The whole file is validated before anything is loaded: if there are errors, all of them are listed at once (with their row number) and nothing is loaded. Fix them and upload the file again.
The Unit must be written exactly as it appears in the list, or left empty.
The download button gives you an Excel with your current products, which works as a template. If you tick some, only the ticked ones are downloaded. Before importing, save the pending changes of the tab.
Orders keep a copy
When a customer buys a product, the order line keeps a copy of its data (name, price, discount, unit) as it was at that moment. If you later change or delete the product, the order is not altered.
History
Every product change is recorded with who made it and when. For imports, the detail of what changed in each product is kept in the product itself, with the import identifier.
